Job Description

Overview: As a Recruiting Coordinator, you will be responsible for supporting the recruitment team in various administrative tasks to ensure a smooth and efficient hiring process. Your role will involve coordinating interviews, managing candidate communication, and maintaining recruitment databases and documentation. You will play a crucial role in providing a positive experience for both candidates and hiring managers throughout the recruitment process.

Responsibilities:

  1. Interview Coordination: Schedule interviews, coordinate interview logistics, and arrange travel accommodations for candidates as needed. Ensure that all parties involved are informed of interview details and any changes to schedules.
  2. Candidate Communication: Serve as the main point of contact for candidates, providing timely updates, answering inquiries, and guiding them through the recruitment process. Communicate professionally and courteously via email, phone, and in-person interactions.
  3. Application Management: Manage candidate applications in the applicant tracking system (ATS), including reviewing resumes, updating candidate statuses, and ensuring data accuracy. File and organize candidate documentation and correspondence.
  4. Recruitment Support: Assist recruiters with posting job openings on various platforms, sourcing candidates, and conducting initial resume screenings. Help maintain a pipeline of qualified candidates for current and future job opportunities.
  5. Onboarding Assistance: Support the onboarding process for new hires by preparing offer letters, coordinating background checks, and assisting with new hire paperwork. Ensure a smooth transition for new employees as they join the organization.
  6. Documentation and Reporting: Maintain accurate and up-to-date recruitment records, reports, and metrics. Generate recruitment-related reports as needed to track progress, measure performance, and identify areas for improvement.
  7. Event Coordination: Assist in the coordination of recruiting events, job fairs, and campus recruitment activities. Help with event logistics, scheduling, and materials preparation to ensure successful recruitment outreach efforts.
  8. Collaboration: Collaborate closely with recruiters, hiring managers, and other team members to support recruitment initiatives and meet hiring goals. Participate in team meetings, brainstorming sessions, and process improvement discussions.

Requirements:

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred. Relevant experience or coursework may be considered.
  • Experience: Previous experience in a recruiting coordinator role or HR administrative position is advantageous. Familiarity with recruitment processes and applicant tracking systems is desirable.
  • Organizational Skills: Strong organizational and time management skills with the ability to prioritize tasks, multitask, and meet deadlines in a fast-paced environment.
  • Communication Skills: Excellent written and verbal communication skills, including the ability to communicate professionally and effectively with candidates, hiring managers, and team members.
  • Attention to Detail: Meticulous attention to detail and accuracy in data entry, documentation, and correspondence. Ability to maintain confidentiality and handle sensitive information appropriately.
  • Adaptability: Ability to adapt to changing priorities, requirements, and work processes. Willingness to learn new skills and tools to support recruitment efforts.
  • Customer Service Orientation: Strong customer service mindset with a focus on providing a positive experience for candidates and stakeholders. Ability to build rapport and establish professional relationships.
  • Teamwork: Collaborative approach with the ability to work effectively as part of a team and support colleagues in achieving shared goals.
