Job Description

Overview: As a Recruiting Coordinator, you will play a crucial role in supporting the recruitment process and ensuring a positive candidate experience. You will work closely with recruiters, hiring managers, and candidates to coordinate interviews, manage scheduling, and facilitate communication throughout the hiring process. This role requires excellent organizational skills, attention to detail, and strong communication abilities.


  1. Candidate Scheduling: Coordinate interview schedules and logistics for candidates, hiring managers, and interviewers. Schedule interviews, phone screens, and assessments while accommodating multiple stakeholders’ availability and preferences.
  2. Candidate Communication: Serve as the primary point of contact for candidates throughout the recruitment process. Communicate effectively via email, phone, and in-person meetings to provide updates, answer inquiries, and address concerns.
  3. Application Management: Manage candidate applications and resumes through the applicant tracking system (ATS). Review incoming applications, update candidate statuses, and ensure data accuracy and completeness in the ATS.
  4. Interview Coordination: Arrange travel accommodations, hotel bookings, and transportation arrangements for candidates traveling for on-site interviews, if applicable. Provide detailed itineraries and instructions to ensure a smooth interview experience.
  5. Onboarding Support: Assist with new hire onboarding activities, including preparing offer letters, background check coordination, and new hire paperwork. Coordinate orientation schedules and facilitate introductions to key team members.
  6. Recruitment Administration: Assist recruiters with administrative tasks such as job posting, resume screening, and reference checks. Maintain recruitment-related documentation, reports, and files in an organized and confidential manner.
  7. Candidate Experience: Ensure a positive candidate experience by providing timely communication, personalized assistance, and a welcoming atmosphere throughout the recruitment process. Collect feedback from candidates to identify areas for improvement.
  8. Collaboration: Collaborate with recruiters, hiring managers, and other stakeholders to understand hiring needs, prioritize open positions, and coordinate recruitment efforts. Participate in team meetings, debrief sessions, and recruitment strategy discussions.


  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field. Relevant experience may be considered in lieu of a degree.
  • Experience: Minimum of 1-2 years of experience in recruiting coordination, HR administration, or related roles. Experience in a fast-paced recruiting environment is preferred.
  • Organizational Skills: Excellent organizational and time management skills with the ability to prioritize tasks, manage multiple calendars, and meet deadlines in a dynamic environment.
  • Communication: Strong written and verbal communication skills with the ability to interact professionally and effectively with candidates, hiring managers, and team members.
  • Attention to Detail: Meticulous attention to detail and accuracy in scheduling, data entry, and documentation. Ability to maintain confidentiality and handle sensitive information with discretion.
  • Adaptability: Ability to adapt to changing priorities, requirements, and recruitment processes. Willingness to learn new tools, technologies, and best practices in recruiting coordination.
  • Customer Service: Strong customer service orientation with a focus on providing a positive experience for candidates and internal stakeholders. Ability to anticipate needs and proactively address issues.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with applicant tracking systems (ATS) or HRIS platforms. Familiarity with scheduling tools such as Google Calendar or Outlook Calendar.
